Responsabilities

Job description

For their operation, NISM and naXys research institutes are seeking an executive assistant (part time, 50 %) to help the board and the presidents of both institutes with everyday tasks.

The Namur Institute of Structured Matter (NISM) research interests cover various topics in the field of organic and physical chemistry, materials chemistry, surface science, solid-state chemistry and physics from both a theoretical and experimental point of view. NISM enables the exchange of ideas and competences in the field of synthesis and functionalization of molecular systems and novel materials (0D, 1D, 2D and 3D), the rational design of solids with specific architecture and surface properties as well as the development of advanced techniques for the study of their physicochemical properties. An important role is played by the theoretical approaches, through numerical simulation and modelling, which contribute to the development of new materials (synthesis, structure, growth) as well as to the prediction of their properties.

The Namur Institute for Complex Systems (naXys) is a multidisciplinary research institute focusing on complex systems, i.e., systems composed of a large number of simple elements in interaction and exhibiting emerging behaviours. The main objective of naXys is the study of such complex systems, by means of the analysis of real-world data, their modelling through mathematics and numerical simulations, and their control and optimisation. Five major research directions are covered: dynamical astronomy & cosmology, mathematical biology, bio-inspired evolution strategies & quantum optics, socio-economic complexity, and stability and robustness (more information, www.naxys.be)

Duties

• To regularly meet the principal investigators of NISM & naXys and collect information on their scientific projects, needs, expectations, …

• To represent NISM & naXys to scientific meetings, research project coordination meetings.

• To be in charge of the practical organization of Institute activities, conferences, seminars and scientific meetings.

• To produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics to update the websites of NISM & naXys, any related database or day to day scientific and financial indicators.

• To prepare reports by collecting and analyzing information.

• To provide historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.

• To organize the communication of NISM & naXys (website, newsletters, press, public events...).

Profile

Requirements

Master degree, preferably with a specialization/experience in mathematical, chemical or physical sciences on a broad sense (or similar) and a proficiency in French and English. A PhD will be an asset.

• Experience regarding scheduling and organizing scientific meetings, colloquia and public events.

• Administrative Writing Skills, Reporting Skills, Supply Management, Scheduling, Microsoft Office Skills, Organization, Time Management, Presentation Skills,

• Skills to perform basic search for information and preparing reports and recommendations.

• Skills to communicate effectively with co-workers, subordinates, superiors, the general public, representatives of public and private organizations.

• Skills in raising financial support for scientific projects.

• Ability to network and use a variety of resources both internal and external to help NISM & naXys to get things done in a timely and cost-effective way.
